Every translation project runs into the same obstacles: an inaccurately defined scope, schedules that slip, too few resources, and communication gaps between stakeholders. In this Modlingua video on project management for translators and project managers, we look at why these challenges keep appearing and how a disciplined project management approach controls them.
The first challenge is scope. More than 30% of projects fail because the scope - all the work needed to achieve the project's goals - is defined wrongly at the start. Scope means identifying and documenting the project's goals, outcomes, milestones, tasks, costs and timeline. Get the boundaries wrong and the damage shows up in cost, time, people and materials, and in communication gaps between everyone involved.
The second challenge is schedule control. When the planned schedule is not followed, deadlines slip and coordination breaks down. A control mechanism has to monitor the activities defined in the plan, and that requires proper knowledge of money flow, human resources and material supply. Without it, a project drifts into the risk zone.
Third comes resource planning. Failing to assess what a project needs - materials, supplies, people, including linguists - raises the risk of stalled execution. Project managers and supervisors exist to check these factors and keep funds and resources flowing on time.
Finally, the most common challenge of all: communication. Projects never run exactly on assumptions, so regular communication between all stakeholders is essential to coordinate effort at every level. Alongside meetings, keeping written records of communication lets anyone refer back - documentation is what finally closes communication gaps.
